Front Desk Assistant Coordinator/ Customer Service


JobSummary:

The Front Desk Assistant Coordinator is in charge of efficient order receiving and processing.  The Coordinator is responsible for rapid communication between customer/dispatch and production all departments. Ensure the highest level of service is offered both internally & externally, ensuring that Communication, Consultation and service delivery is achieved on a daily basis acting always with consistency and integrity.

Key Accountabilities

  • Keep a daily log of all outstanding items so it can be closed by the end of day. (customer complaints/ short supply etc.)
  • Liaise with invoicing clerks on timely release of orders & invoices to dispatch.
  • Ensure Browns stores are supplied with items in full (including stores) at all times.
  • Ensure at all times, customer communication is proactive.
  • Communicate all customer challenges to the sales account managers to ensure short
    supply is anticipated BEFORE delivery.
  • Check LPO’s once vehicles leave to note short supply so the customer can be
    informed and an action closed by end of day.
  • Respond immediately to queries and complaints from both customer and employee. Directing these to the relevant internal teams and following up to ensure these are closed within 12hours.
  • Interact politely with clients while solving problems related to sales, dissatisfied service and issues regarding any of our stores.
  • Maintain the order log to ensure no orders are forgotten.
  • Manage email and WhatsApp for the company for orders using the organized color coding for orders printed/needs action/action closed 

What We’re Looking for:

  • Diploma/ Degree Business Administration/ Marketing/ project
    management.
  • Minimum 2-3 years’ experience in the same role, preferably within
    FMCG environment, Personal Assistant experience is an added advantage.
  • Proficiency in MS Office
  • Digital marketing skills.
  • Communication and interpersonal skills
  • Self-motivated with a results-driven approach
  • Strong attention to details, excellent team work.
  • Previous experience as a Personal Assistant will be an added advantage
