Entry-Level Office Assistant Position
Job Summary
We are seeking a highly motivated and organized Entry-Level Office Assistant to support daily administrative operations. The ideal candidate will be detail-oriented, dependable, and eager to learn. This is an excellent opportunity for someone starting their career in office administration.
Key Responsibilities
- Greet and assist visitors in a professional and friendly manner
- Answer and direct phone calls to the appropriate departments
- Organize and maintain paper and electronic files
- Perform data entry and update records as needed
- Assist with scheduling appointments and meetings
- Prepare and distribute internal communications (emails, memos, etc.)
- Receive, sort, and distribute incoming mail and deliveries
- Maintain office supplies and notify management when stock is low
- Support team members with administrative tasks and projects
- Ensure the office remains clean and well-organized
Qualifications
- High school diploma or equivalent; diploma in business administration or a related field is a plus
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Strong communication and interpersonal skills
- Ability to multitask and prioritize work
- Attention to detail and problem-solving skills
- Willingness to learn and take initiative
Preferred Skills
- Basic knowledge of office equipment (printers, scanners, photocopiers)
- Familiarity with filing systems (digital and physical)
- Previous internship or volunteer experience in an office setting is a plus
Working Conditions
- Office-based work environment
- Standard working hours, Monday to Friday
- May require occasional lifting of office supplies (up to 10kg)
