Job Summary

We are seeking a highly motivated and organized Entry-Level Office Assistant to support daily administrative operations. The ideal candidate will be detail-oriented, dependable, and eager to learn. This is an excellent opportunity for someone starting their career in office administration.

Key Responsibilities

  • Greet and assist visitors in a professional and friendly manner
  • Answer and direct phone calls to the appropriate departments
  • Organize and maintain paper and electronic files
  • Perform data entry and update records as needed
  • Assist with scheduling appointments and meetings
  • Prepare and distribute internal communications (emails, memos, etc.)
  • Receive, sort, and distribute incoming mail and deliveries
  • Maintain office supplies and notify management when stock is low
  • Support team members with administrative tasks and projects
  • Ensure the office remains clean and well-organized

Qualifications

  • High school diploma or equivalent; diploma in business administration or a related field is a plus
  • Proficiency in Microsoft Office (Word, Excel, Outlook)
  • Strong communication and interpersonal skills
  • Ability to multitask and prioritize work
  • Attention to detail and problem-solving skills
  • Willingness to learn and take initiative

Preferred Skills

  • Basic knowledge of office equipment (printers, scanners, photocopiers)
  • Familiarity with filing systems (digital and physical)
  • Previous internship or volunteer experience in an office setting is a plus

Working Conditions

  • Office-based work environment
  • Standard working hours, Monday to Friday
  • May require occasional lifting of office supplies (up to 10kg)
