Administrative Assistant – Executive Office (Kisumu)
Job Purpose
We are seeking to hire a mature, highly organized, proactive, and resourceful Administrative Assistant to offer timely administrative support and ensure smooth running of the Executive’s office.
Duties & Responsibilities
Administrative duties
- Act as the primary point of contact between the Executive and internal/external stakeholders.
- Draft, proofread, and manage professional, personal, and social media correspondence.
- Support project planning, execution, and research across multiple ventures.
- Prepare documents, reports, and presentations for business use.
- Assist in managing the Executive’s personal brand across social media platforms.
- Capture and curate quality photo/video content; collaborate with creators, editors and designers.
- Coordinate complex calendars across business, family, and personal obligations; prioritise and anticipate conflicts.
- Organize family calendars, children’s activities, and personal events.
- Maintain organized files, office supplies, and documentation; ensure professional standards in admin processes.
- Arrange domestic and international travel logistics and manage itineraries/expenses.
- Plan and manage events ranging from business meetings to family gatherings.
- Exercise utmost discretion in all matters and proactively identify and resolve issues before escalation.
Social Media duties
- Draft, proofread, and manage professional and social media correspondence.
- Support social projects: planning, execution and research across ventures.
- Assist in managing the Executive’s personal brand across social platforms.
- Capture and curate photo/video content and coordinate with content teams.
Qualifications & Requirements
- Bachelor’s degree in Business Administration, Communications, or a related field.
- Proven experience as an Administrative/Personal Assistant supporting high-level executives managing business and personal responsibilities.
- Excellent organizational, time management, and multitasking skills.
- Strong verbal and written communication skills.
- Proficiency in office productivity tools and social media platforms.
- Familiarity with travel booking and expense management systems.
- Discretion, professionalism, integrity and the ability to adapt in a fast-paced environment.
