Reception & Administrative Assistant – MSF

Objective of the Position

Perform secretarial, administrative, and driving activities according to the instructions of the Line Manager and MSF rules and protocols to ensure efficient support to MSF office staff.

Tasks & Responsibilities

  • Ensure reception area is clean and tidy in collaboration with the Office Cleaner.
  • Welcome and receive visitors at the reception area.
  • Alert staff when visitors arrive.
  • Manage incoming and outgoing office calls.
  • Circulate all notices (emails and hard copies) to staff.
  • Receive invoices from suppliers and forward to relevant departments.
  • Maintain and update stationery stock cards daily or as necessary.
  • Ensure all stationery requests are signed and dispatched correctly.
  • Prepare quarterly stationery and sundry orders, submit for validation.
  • Track utility bills and submit for validation before due dates.
  • Oversee completion of staff checkout forms.
  • Manage daily milk supply and invoice tracking.
  • Coordinate with G4S for delivery and collection of office documents.
  • Ensure timely purchases for office events (cakes, snacks, gifts, etc.).
  • Monitor and replenish office drinking water bi-weekly to avoid shortages.
  • Drive MSF vehicles for authorized goods and personnel, ensuring safety and rule compliance.
  • Perform additional duties as assigned by Line Manager.
  • Attend meetings as required.

Qualifications & Requirements

  • Education: Secondary education. Secretarial training is an added advantage.
  • Experience: Minimum 2 years in secretarial or administrative duties.
  • Skills: Computer literacy, team-oriented, flexible, service-driven, results-focused.
  • Language: Proficient in English and Swahili (spoken and written).
